Jena Layton is stepping down as Administrative Director for the medical society at the end of June. We are actively looking for her replacement. Below is a description of the position. POSITION DESCRIPTION
Position: Administrative Director

Reports to: TMCMS President and Board of Trustees
Supervises: Temporary staff and volunteers as needed for special projects or events
Budget Responsibilities: Draft annual operating budget for Board review; maintain ongoing budget vs. actual financial report to ensure accuracy and adherence to budget; prepare annual tax returns for Board review and approval.
General: The Thurston-Mason County Medical Society (TMCMS) was established in 1889, and has grown to include several hundred practicing physicians and physician assistants. The Society's mission is to promote the art, science and practice of medicine and the practitioners who pursue these goals; protect and improve the health of the public; and provide leadership for its membership. The TMCMS is a constituent of the Washington State Medical Association (WSMA) and the American Medical Association (AMA).
Job Specifics:
This is a 40 hour per month position.
Rate is $30 per hour.
The Director will work primarily from home and will have access to a conference room at the WSMA offices in Olympia.
Overall Accountability: The Administrative Director reports to the President of the Medical Society Board of Trustees, and is responsible for the execution and management of the business plan in collaboration with the board. The director manages day-to-day operation of the business of the society, monitors income and expenses for accuracy and adherence to the budget, represents the society and communicates its strategies before various community leaders, organizations, and committees. The director is accountable to the members of the medical society, and reports to the Board of Trustees on a regular basis.
The Administrative Director is a Trustee of the Thurston-Mason County Medical Society – Volunteer Care Institute (VCI), the public charitable organization of the medical society. The director reports to the Chair of the VCI Board of Trustees. The director participates in fundraising activities for VCI, manages the financial record, and ensures annual tax returns are timely filed.
Specific Responsibilities: Specific responsibilities of the position include, but are not limited to, the following:
1. Oversee day-to-day operation of the medical society
a. Ensure appropriate and adequate retention of society documents and records
b. Ensure appropriate Directors and Officers Liability Insurance
c. Maintain an up-to-date compendium of society policies, governance documents, articles of incorporation and bylaws
d. Maintain current list of society members and non-members
e. Produce and distribute timely communications to members: Monthly newsletters, meeting and program announcements, CME opportunities
f. Develop and update member services as needed
g. Promote and market the society in partnership with WSMA
h. Create and maintain medical society projects and programs
2. Fiscal Management
a. Ensure operations are within the annual budget
b. Exhibit prudent financial management and sound fiscal responsibility
c. Maintain communications with financial institutions
d. Prepare monthly financial reports for Treasurer's review and reporting
3. External Relations
a. Develop and maintain relationships with community physicians and health care leaders including the Thurston and Mason County Departments of Health and Society Services, County Commissioners, hospital administrators and medical staff leadership
b. Develop and maintain relations with community organizations to ensure physicians maintain a presence when decisions are being made about partnerships
4. Board of Trustees
a. Organize and schedule board meetings with the president
b. Notify board members of any meetings and provide the agenda and supporting documents prior to the meeting
c. Attend all meetings of the board and keep an accurate record of meeting minutes and next steps of items discussed
d. Keep the board informed of society activities
e. Participate in the development of policies to ensure sound organizational structure
5. Member Communication and Advocacy
a. Respond to member inquiries in a timely fashion, and serve as a general resource for members.
b. Draft the monthly newsletter and invite local physicians to participate in writing articles.
c. Keep members informed about legislative issues and encourage relationships with their legislators
d. Publish annual membership directory for membership distribution
e. Develop and publish membership recruitment materials
f. Update the medical society website
Position Requirements
1. Bachelor's degree or equivalent work experience.
2. Preferred: Experience in association management.
3. Experience with budgeting and financial management.
4. Excellent organizational, interpersonal, oral and written skills.
5. Ability to work independently and set priorities with minimal supervision.
6. Represent self and the medical society in a professional, public manner.
Proficiency in use of QuickBooks, MS Word, Excel, Outlook, PowerPoint and WordPress (to update website).
